A Pandemic Pivot to Virtual with TelcoWorks' Tech Talk Series

About the Client:

TelcoWorks is an agnostic advisory business, which has been helping corporate clients improve their voice and data efficiencies since 2001. Founded by Valerie Brauckman Burgess, TelcoWorks understands the changing landscape of the telecom industry, and how to effectively incorporate the right solutions into their business model. From VoIP to SIP, business continuity and cloud services, we successfully help businesses evaluate options, make informed decisions, negotiate carrier contracts and manage the implementation of new products and services.

About the Project:

Upon a recommendation from the event’s guest speaker, Ashley Owens, Val Brauckman called upon us to spearhead the logistics for TelcoWorks’ partner event series, Tech Talk.

Primary: Event project management

Secondary: Sponsor & speaker relations, Day-of management

Processes:

Initially, Beth discussed the goals and objectives, as well as an overview of the key stakeholders participating in the event. Along with TelcoWorks, partners at Crown Castle, ITSolutions and RingCentral would be supporting the event; Ashley Owens of Ashley Assists would then lead a presentation on relationship building to conclude the programming.

Val had a few venues in mind for the event and was intrigued by the idea of hosting it at one of the many breweries in the King of Prussia area. She had two venues she knew she wanted us to schedule site visits with, but we offered a third solution as well. After conducting three site visits and evaluating the onsite amenities and menu options, it was decided that Conshohocken Brewing Company’s King of Prussia location would be the best for the event; the date was then set for March 19.

Next, we utilized EventBrite’s platform to create a ticketing page for the event, along with (4) graphics for Val’s approval. Once a header image was selected, we communicated next steps to the team at ITSolutions, whose VCIOs were to be in attendance at the event. Throughout the project, Beth worked directly with Val to ensure that all stakeholders remained informed as to the event’s progress, from guest count to final menu.

In keeping a close eye on the COVID-19 outbreak, Beth, Val and the partners decided on Thursday, March 12 to move the event over to a virtual platform—RingCentral. Once the decision was made, we worked to ensure that the partners and speakers were aware of how to utilize the technology and the updated agenda. Finally, we informed the attendees as to the condensed timeline and final agenda, as well as instructions for how to dial in to the platform.

Results:

  • 15 attendees were able to use RingCentral’s features in real time, and spotlight their offerings in a seamless and poignant way.

  • Val, Beth and key stakeholders pivoted an in-person event to a virtual one in under a week’s time, condensing the timeline from a three hour meeting to two and a half hours.

  • Though Ashley’s keynote was postponed and we could not utilize Conshohocken Brewing Company’s facilities for this event, the first Tech Talk event developed and strengthened relationships with these partners, and laid the groundwork for how in-person Tech Talk events can and will look in the future.
